Job Summary

The University of Michigan Medical School's Office of Medical Student Education (OMSE) seeks a highly technical applicant to partner with the faculty and staff directors of the Professional Development Branches and scheduling staff in the Medical School. The successful candidate will work directly with a core team to strategize, plan, coordinate, administer, and communicate the goals, objectives, and activities within the Branches. This position will also provide assistance to the Scheduling Specialist and will need a technical background.


Branches Coordinator (70%)

  1. Assist faculty with administrative needs for courses that are centrally coordinated by OMSE in the Branches curriculum.

  2. Assist in developing educational projects, lectures, presentation materials, program communications, letters of recommendation, evaluations and assessments, and grade submissions.

  3. Develop and maintain Canvas sites for curriculum administration.

  4. Act as a liaison between clinical clerkships and Medical Student Education.

  5. As needed, provide support to new initiatives within the medical student curriculum.

  6. Plan, coordinate, and support the Branches Orientation.

  7. Plan, coordinate, and support Branches kickoff events and informational sessions.

  8. Coordinate and prepare meeting agendas? query and pull student performance information to include in reports.

  9. Participate in and assist with facilitating Branch meetings for faculty, staff, and students.

  10. Schedule rooms and coordinate materials for meetings, sessions, catering.

Communications (15%)

  1. Communicate orally and in writing with faculty, staff and students about relevant Branch activities, program policies and procedures, etc.

  2. Maintain UM directory email listserves for clinical clerkships, faculty, and staff? Create and distribute listing of participants to stakeholders.

  3. Document and reconcile daily programmatic expenses? Partner with OMSE c curriculum team to communicate budget requests and/or issues.

M1-M4 Scheduling Assistant (15%)

  1. Provide scheduling assistance and back-up to the Scheduling Specialist.

  2. Collect, maintain Clinical Trunk and Branches Handbooks and detailed curriculum offering information.

  3. Work with OMSE staff, clerkship directors and coordinators, to orient students to scheduling information and process.

  4. Serve as resource to students regarding availability of electives, scheduling options, adjustments to schedules, and fulfillment of graduation requirements.

  5. Process schedule changes in accordance with established guidelines.

  6. Process domestic and international rotation applications, including accompanying documentation such as health and immunization records, etc.

  7. Notify departments/hospital affiliates of all special schedule changes in a timely manner.

  8. Prepare, coordinate and finalize clinical clerkship scheduling utilizing Mpathways and/or other systems that require interfacing with supportive software.

  9. Assist in updating the clerkship scheduling policies and procedures.

Desired Qualifications*

  • Experience with Student Administration database in MPathways (PeopleSoft), Canvas, and M+Box.

  • Experience with event/course/meeting coordination.

  • Experience working in an academic setting.

  • Bachelor’s Degree and/or 3-5 years of professional experience in an academic setting.
