In this position, the Administrative Assistant will require a high level of energy, is outgoing, proactive, and works independently supporting US Investment Services Managers. The position manages the day-to-day activities of these managers and acts as a liaison to our internal and external clients. Additionally, the position will assist in and/or lead special projects of moderate complexity. The position requires a positive, outgoing and tactful demeanor, professional presence, strong communication skills along with the ability to manage upwardly, and negotiate for off -site venue activities. Intermediate to advanced technical skills are required particularly in preparing PowerPoint decks. The position fosters successful relationships through direct interaction with peers and others. It also partners with management to build a collaborative working environment while promoting leadership, exercising good judgment and professionalism.


ADMINISTRATIVE LEVERAGE/GATEKEEPING: Leverage the professionals’ time by performing administrative duties related to the scope of the professionals’ responsibilities, including:

  • Outlook calendar/schedule maintenance; scheduling internal and external meetings (coordinates meeting logistics: presentation materials, AV and technical support, conference rooms, tracking attendees, catering, etc.) as needed; manage mail and package delivery.

  • Create, format and edit correspondence, reports, databases from draft to client-ready stage; draft responses to general inquiries (e.g., responding to questions on behalf of the professional, requests for materials, etc.) word processing, photocopying, document printing and packaging.

  • Coordinate global and domestic travel arrangements; may involve organizing schedules, itineraries and travel documents (Visas, passports).

  • Expense reporting and management; ensures compliance with company policy and reporting regulations and follow-up to ensure accurate processing and reimbursement; coordinates enrollment and payment with vendors for seminar/conference fees, etc.

  • Receive visitors and assist/direct phone calls.

  • Identifies opportunities to improve the quality and efficiency of information flow; brings to the professional’s attention only those matters in which he/she needs to be informed and requires immediate attention.

Reports & Presentation Materials: Coordinates production of appropriate materials for internal and external meetings and presentations. Inputs necessary client/vendor information in the CRM system (touchpoint) and is also responsible for running queries to extract the relevant data needed for reporting, etc.

  • Compiles, creates and maintains various reports, databases and charts using software applications that may require an intermediate to advanced level of technical skill and general understanding of business purpose for presentation. May involve initial editing, drafting and proofing; may be called upon as a subject matter expert to assist others by answering technical questions.

  • Acts as a subject matter expert for applications. i.e., Outlook, PowerPoint, Visio, SharePoint etc.

Ad Hoc Project Support:

  • Independently assists in or leads special and ad-hoc projects related to division and/or corporate activities. Some projects may require the individual to take the lead role in managing a process or they may be the only resource responsible for the execution of the project (e.g., team “face books” and internal team tools, orientation materials, etc.).

  • Work at times may be complex, cyclical, sensitive and confidential in nature and based on in-depth knowledge of business specific policies, processes and procedures.

  • Leads or participates in process and workflow reengineering as systems are upgraded and/or functions are automated.

Network & Relationship Building:

  • Works collaboratively with supervisor and team leads to ensure that seamless back-up support is provided to the professionals.

  • May at times be asked to act in a mentoring capacity to others, specifically to new associates.

  • Fosters successful relationships through direct interaction with peers, professionals and others.

  • Partners with management to build a collaborative working environment while promoting leadership, exercising good judgment and professionalism across business units.



  • Some college

  • 6 or more years of experience in a fast-paced office environment


  • Executive or senior level administrative /project management experience in a business environment

  • Intermediate to advanced skill level in Microsoft Outlook, Word, Excel, SharePoint and PowerPoint

  • Strong customer service, interpersonal, leadership skills

  • Strong communication skills: verbal, listening and written

  • Self-directed and able to perform assignments independently; demonstrates pro-active approach and is flexible with change

  • Ability to multitask and prioritize workload

  • High school diploma or equivalent with 2 years related work experience, or college degree
