The Learning Coordinator role is responsible for the coordination of Citi’s EMEA Talent/Coaching (30%), Learning (15%) and Diversity (55%) events. The role involves liaising with senior stakeholders across the EMEA region as well as Learning and Diversity professionals in Country, region and Global teams to ensure the all aspects of the events are completed to a high standard. This is a fast-paced role and you will need to be able to manage many tasks and stakeholders simultaneously, in countries across Europe, Middle East, Africa and North America.

General Responsibilities:

• Providing statistical information and ad-hoc reports on events

• Diversity liaison for the EMEA Diversity networks

• General event related administrative duties

• Producing reports from GLMS on training histories etc.

• Assist in the marketing process and relationship management activities by providing information and communication with line clients

• Global project participation

Key Responsibilities:


• Assist in the event development process by liaising with external consultants and/or line instructors on materials and other requirements

• Assisting in establishing the event schedule for year, including contacting consultants to ascertain availability and ensuring that suitable venues/classroom space and equipment are available

• Ensuring GLMS reflects event availability

• Producing detailed joining instructions for each participant

• Liaising with venues regarding requirements, meals, invoicing etc.

• Ensuring that materials are prepared for reproduction and that these are delivered to the venue prior to the start of the event

• Ensuring appropriate contracts, purchase orders and funding approvals for external consultants

• Liaising with technical support/facilities (both internal and external) to obtain equipment as needed

• Setting-up classrooms prior to the start of the event for those held in Belfast

• Liaising with local contacts to ensure classrooms are set-up prior to the start of the event

• Tracking registration trends and alerting Learning Consultants to over/under subscriptions

• Answering Learner enquiries

During Event:

• Ensure that there is a local contact to meet line instructors/external consultants on arrival at the venue to ensure that their requirements have been met

• Ensure that there is a local contact available to welcome participants to the event, ensuring familiarity with the facilities available to them and answering any questions they may have. Assisting in the arrangement of social events, end of event dinners, etc. as and when required

• Assisting as required during the event, e.g. running simulations, operating equipment

After Event:

• Arranging return of equipment and clearing classroom for subsequent use

• Arranging for settlement of event related invoices

• Any post event follow-up as necessary

• Collate end of event evaluations

• Learning management system experience a plus

• Proficient with MS Office and WebEx, and knowledge and capability of working with SharePoint/Collaborate
