Under general supervision of the HR Manager, and with guidance from the Senior Recruiting Coordinator, the Recruiting Coordinator (RC) will provide administrative support to the Recruiters on the Antarctic Support Contract in Centennial, CO. The RC will contribute to the overall success of the Recruiting Group by providing a high level of customer service and maintaining quality throughout the Staffing process.
GENERAL DUTIES (not all inclusive):
As part of the team supporting staffing needs and mobilizations, the RC will:
Maintain accurate entries into the applicant tracking system (ATS)
Correctly update staffing reports and similar spreadsheets with all appropriate changes in a timely manner
Process all paperwork from newly hired candidates after a signed offer letter and relevant certifications have been received by the Recruiter
Correspond with applicants, candidates, and newly hired employees via email and phone to insure proper submission of documents and follow through with on-boarding procedures
Send, receive, and track employment documents via email, fax and overnight mail
Assist and coordinate all the pre-deployment and deployment processes, e.g. requesting an employee has a spot on non-commercial flights
Communicate important employment information during the pre-deployment timeframe (e.g. what to pack for Antarctica, how to submit for reimbursement of expenses)
Assist with arranging medical and dental appointments
Conduct appropriate reference and/or background checks
Perform other duties as required
High school diploma. Bachelor’s Degree or equivalent work experience preferred
At least 2 years prior administrative experience. Experience supporting HR and/or Staffing a plus.
At least 2 years customer or client service experience
At least 1 year of experience in maintaining information inside an applicant tracking system
Must be proficient in utilizing the internet (will use to find doctors/dentists for medical appointments)
Have excellent written and verbal communication skills, including phone and email etiquette
Ability to maintain complete confidentiality as appropriate
Should be able to work in a high volume, fast paced environment, with changing priorities
A great team attitude and ability to work harmoniously with others
Proficiency in Microsoft Outlook, MS Excel, and MS Word
