Service Writer


Under the general supervision of the Fleet Administrative Supervisor, the Service Writer acts as subject matter expert on all Operations work order processes. The Service Writer will contribute to the overall success of Operations functional area by providing a high level of customer service and maintaining quality throughout the work order process. The position is based in Centennial, Colorado and deploys to Antarctica for several months each year.

GENERAL DUTIES (not all inclusive):

  • Maintains a safe workplace program and ensures that safety is the highest priority in the workplace.

  • Ascertains automotive and equipment service problems by listening to customer's description of symptoms; clarifying description of problems; conducting inspections; taking test drives; checking vehicle maintenance records; examining service schedules.

  • Develops estimates by ascertaining materials availability, supplies, and labor using Maximo work order system.

  • Prepares Work Orders (WO) in conjunction with the work order planners by:

  • validating discrepancies describing symptoms, problems, and causes discovered,

  • as well as repairs and services required; obtains approval signatures

  • Utilize transportation module to input, report, train personnel and develop compliance standards across the United States Antarctic Program (USAP) enterprise.

  • Responsible for data entry into the transportation module and quality assurance of same; develop and maintain failure coding standards across the enterprise.

  • Maintains customer rapport by explaining estimates and expected return of vehicle or equipment; answering questions and concerns; scheduling maintenance times with customer.

  • Develops, trains and maintains work order reporting standards for all departments in Operations functional area.

  • Acts as focal point for all department vehicle liaisons across the enterprise and assists Fleet Administrative Supervisor with weekly health of the fleet meetings.

  • Utilize Fuel master fuel tracking program to ensure proper reporting and interface with Maximo transportation module.

  • Ensures fleet telematics reporting, both static and satellite are utilized to maximum extent possible. Ensures Fleet Admin staff are kept appraised of trouble reports and works with end users to correct deficiencies.

  • Reports fleet in-commission rates, deadline report and deferred maintenance reports to the VMF supervisor.

  • Maintains automotive records by recording problems and corrective actions planned.

  • Updates job knowledge by participating in educational opportunities; reading manufacturers' publications.

  • Enhances organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to customers experience and level of service.

  • Continuously investigating ways to leverage current and emerging technology to better serve client by accurate and timely data reporting.

  • Performs other duties as required.


  • High school diploma or equivalent.

  • Minimum of one year of experience as a service writer.

  • Minimum two years of experience as an automotive mechanic.

  • Valid driver's license is required.

  • A minimum of one year experience working with a maintenance record system, reporting and data management.

  • Two years training at a technical school is preferred.

  • Ability to identify mechanical issues with vehicle and equipment components.

  • Must be able to lift, bend and stoop to accomplish job tasking.

  • Critical problem-solving and decision making ability.

  • Ability to work under minimal supervision.

  • Attention to detail extremely important.

  • Must be willing and able to perform physical activities including heavy lifting, climbing in and out of equipment, crawling, and working in extreme outdoors weather conditions.

  • Must be able to use sound judgment and possess solid decision making ability to quickly, safely and effectively solve problems.

  • Must have computer experience and be able to learn and utilize (Maximo) work order, telematics, fuel issue and timesheet software programs.

  • Must be able to professionally and effectively communicate both orally and in writing to management, staff, colleagues and Program Officials.

  • Willingness and ability to deploy to Antarctica for extended periods is required.

  • Must be able to work various nonstandard hours to accommodate different client time zones while in Centennial office

  • Must be willing and able to lift and move items, parts, assemblies and equipment up to the safety regulation maximum.

  • Must successfully complete the physical, dental and psychological (if applicable) examinations as required by the NSF for deploying to Antarctica.

  • Must participate in community programs, such as “house-mouse” (chores), “daisy-picking” (cleaning-up around the station), recycling efforts and safety objectives.
