Special Assistant II

Responsibilities: Candidate will provide direct Senior Executive (SE) office support. Special Assistants manage the overall work flow and coordination of the Senior Executive's responsibilities throughout the customer organization.

Special Assistant II is expected to exercise wide attitude of discretion regarding work flow, priorities, and methods in addition to an in-depth knowledge of the various executives styles, methods of operation, relationships, and authorities.

Work includes:

  • Scheduling, managing, and disseminating the Senior Executive's calendar,

  • Controlling access to the Senior Executive,

  • Monitoring email and other types of correspondence for action items, and

  • Drafting and preparing non-routine letters, memos, documents and various reports.

Positions at this level are expected to interact with high ranking officials both within the customer organization, Independent Contractors and the private sector. Intrinsic to the Special Assistant's work is knowledge of the customer, IC and federal government. The individual may provide general supervision and guidance to junior Admins.


  • Must be a US citizen possessing TS/SCI Clearance with Polygraph at time of application.

  • Three years of progressively responsible Executive office support.

  • High School diploma or equivalent.

  • Ability to obtain extensive knowledge of the Agency, IC, and other government agencies and their inter-relationships

  • Ability to obtain extensive knowledge of customer regulations, policies, and unique authorities

  • Extensive knowledge of protocol, precedence, organizational rules, regulations, and policies

  • Extensive oral and written communication skills sufficient to compose and deliver responses to customers routine to highly complex questions in a clear and concise manner

  • Excellent customer service skills demonstrated by anticipating and responding to the assigned SE and other agency Senior Executive managers, managers, and staff

  • Extensive knowledge of current computer applications, internal transactional applications, and the Internet

  • Extensive knowledge of correct English usage, spelling, punctuation, and proofreading skills

  • Ability to obtain extensive knowledge of assigned office or directorate procedures and policies

  • Ability to obtain working knowledge of component operations sufficient to anticipate administrative support plans in coordination with component management and assigned executive suite

  • Ability to represent the Senior Executive to both internal and external customers

  • Strong interpersonal skills demonstrated by developing working relationships and networks with division/component managers, staff, external resources, and colleagues

  • Ability to be discreet and maintain confidentiality

  • Ability to lead and mentor staff through example

  • Ability to develop creative approaches and alternative to the resolution of issues and problems

  • Ability to interact with people who have different values, cultures, or backgrounds

  • Ability to work independently at a brisk pace, make urgent judgment decisions and to take the correct action

  • Ability to adapt to rapidly changing work requirements and priorities, maintaining flexibility and versatility

  • Ability to review several diverse reference sources and select and synthesize data for reports and other forms of correspondence

  • Ability to work a flexible schedule determined by work assignments that may require overtime or extended hours
