The Advanced Medical Support Assistant (AMSA) - role is a complex role requiring a global understanding of VA policies, independent decision-making, and multidisciplinary collaboration. The AMSA is assigned as the Manager for the Patient Aligned Care Team (PACT)/or Specialty Team in Primary Care Service. The incumbent serves as an active member of the team and is involved with screening, advising and assisting Veterans who come to the Medical Center seeking medical treatment. Assignments at this level include, but are not limited to:

  • Scheduling, canceling, re-scheduling patient's appointments and/or consults including interpreting and verifying provider orders in accordance with VHA national scheduling guidelines;
  • Entering no-show information;
  • Preparing admissions, monitoring the electronic wait list; preparing for clinic visits;
  • Monitoring outpatient appointments for areas of responsibility;
  • Ensuring encounter forms are completed in order to obtain appropriate workload credit;
  • Verifying and updating demographics and insurance information;
  • Processing all emergency and non-emergency transfers to other VA facilities or private hospitals; performing basic eligibility, co-pays and preauthorization requirements for specific coverage;
  • Routinely communicates with physicians, case managers, and other allied health professional staff using sound interpersonal skills and is constantly aware of the sensitive information;
  • Otherwise, works independently making decisions based on guidelines, precedents and regulations and performs duties in such a manner that only minimal supervision is required.

BASIC REQUIREMENTS: a. Citizenship. Citizen of the United States. (Non-citizens may be appointed when it is not possible to recruit qualified citizens in accordance with VA Handbook 5005, part II, chapter 3, section A, paragraph 3g.)

b. English Language Proficiency: Medical Support Assistants must be proficient in spoken and written English in accordance with VA Handbook 5005, part II, chapter 3, section A, paragraph 3j.

c. Physical Requirements: Applicants must successfully complete a pre-employment physical, including the possibility of a drug screen.

GRADE DETERMINATIONS: In addition to meeting the basic requirements, applicants must have one (1) year of experience in a medical clinic or hospital performing clerical or office management work that is directly related to duties of the Advanced Medical Support Assistant and must be at a level comparable to MSA experience at the next lower level (GS-5). Applicants must also demonstrate they meet the Knowledge, Skills, Abilities at the next lower level (GS-5).

Experience comparable to the next lower level (GS-5) is defined as experience that includes, but is not limited to: scheduling, canceling, re-scheduling patient's appointments and/or consults; entering no-show information; monitoring the electronic wait list; preparing for clinic visits; monitoring both inpatient and outpatient appointments for areas of responsibility; ensuring encounter forms are completed in order to obtain appropriate workload credit; verifying and updating demographics and insurance information; processing all emergency and non-emergency transfers to other VA facilities or private hospitals; performing basic eligibility, co-pays and preauthorization requirements for specific coverage (i.e., TRICARE, sharing agreements, etc.). Applicants must also be able to demonstrate the following KSAs (a) Ability to operate computerized programs and databases in order to enter, modify and retrieve sensitive information/data into or from electronic medical records, scheduling systems and/or reports; (b) knowledge of basic medical terminology; (c) ability to make appointments in a clinical setting; (d) ability to work independently in the accomplishment of a wide variety of duties, including setting priorities and coordinating work; (e) ability to communicate effectively and professionally with employees at varying grade levels; and (f) ability to identify customer's concerns, perform the tasks required to resolve the issue accurately and timely, and follow-up as necessary to ensure a satisfactory resolution. Experience at this level is performed with minimal to no additional supervision.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Candidates must be able to demonstrate the following knowledge, skills, and abilities for the GS-6 level to qualify for this position. a. Ability to collaborate, communicate, set priorities, and organize the work in order to meet deadlines, ensuring compliance with established processes, policies, and regulations. b. Ability to communicate tactfully and effectively, both orally and in writing, in order to meet program objectives. This may include preparing reports in various formats and presenting data to various organizational levels. c. Advanced knowledge of the technical health care process as it relates to access to care. d. Advanced knowledge of managing a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment. e. Advanced knowledge of policies and procedures associated with operational activities that affect the patient flow, patient care, and the revenue process. f. Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.
