Passenger Services Representative, Senior
GENERAL DUTIES (not all inclusive):
Supervises Passenger Services personnel and operations for the Station. Oversees all aspects of passenger operations including manifesting, deployment/redeployment coordination, departure messaging, and passenger coordination for the South Pole, Field Camps and Christchurch, NZ.
Is responsible for oversight of all inter/intra-continental manifesting of passengers and coordination and the supervision of Passenger Services Representatives.
Must train Passenger Services Representatives on all aspects of passenger processing and advanced use of personnel tracking software.
Arranges and conducts redeployment meetings for all ASC personnel.
Ensures the successful redeployment of all ASC, military, NSF and personnel working for contracted agencies on the final flights of the season (approximately 1,300 people). Manages the passenger totals on all flights and coordinates the prioritization of passengers for overbooked flights. Maintains an Excel database to track the redeployment activities.
Professionally interfaces with all USAP organizations and Scott Base regarding any issue related to passenger transport.
Conducts daily communications with South Pole management regarding the coordination of South Pole passenger movements. Appraises other USAP agencies of flight schedule updates and changes.
Maintains coordination with the ASC Area Director, USAF, and Medical personnel regarding medevac passenger flight requirements.
Coordinates with the NSF Representative and other agency/international program (Research Ships, Italian Antarctic Program, Australian Antarctic Division and New Zealand Antarctic Program) Coordinators to determine passenger priorities.
Oversees the accurate and timely dispersal of Departure/Return Messages.
Coordinates tours for USAF C-17 flight crews.
Constantly coordinates with the Christchurch Travel office personnel regarding northbound, southbound, and redeployment flight information.
Coordinates with the NSF Administrator regarding Distinguished Visitor transport schedules.
Conducts daily coordination with Shuttles Supervisor for the movement of passengers to and from the airfields.
Provides the ATO Manager a passenger backlog report twice weekly.
Maintains and compiles data for ATO annual reporting requirements including metrics tracking.
Represents ATO regarding personnel tracking software issues and is the Point of Contact (POC) at station.
Handles confidential matters (i.e. personnel actions, medevac, management reports, personal travel information, etc.) in accordance with management policy.
Evaluates and documents employees' performance throughout the season, thus creating a reference document for end of the season employee evaluations.
Interacts with the National Science Foundation, armed forces, and other agency officials, both over the telephone and in person, in a professional and tactful manner.
Communicates professionally, both orally and in writing, with subordinates to relay all information needed to successfully perform their duties. This includes, but is not limited to, staff meetings, performance appraisals, job requirements, division metrics, projects, Quality Standard Procedures, and safety practices.
Communicates via two-way radio in accordance with prescribed procedures and proper radio etiquette.
Safely operates and services 10-15 passenger vans and Foremost Delta II vehicles as required.
Responsible for maintaining a safe workplace and ensuring that safety is the highest priority in the workplace.
Performs other duties as required.
High School Diploma or equivalent is required. Bachelor's degree preferred.
Valid Driver's license is required.
Minimum of four years administrative office experience required, at least one year must be in a supervisory position and two of those years must be in either Antarctic Terminal Operations or comparable experience, or in the transportation industry. Proficiency with widely distributed travel or transportation databases used to track passenger movements is required. The ability to use Microsoft Office 2000 software within the Microsoft Windows Operating System is preferred. Microsoft Excel proficiency is strong preferred.
Supervisory experience preferred.
Willingness and ability to deploy to Antarctica for extended periods is required.
Must successfully complete the physical, dental and psychological (if applicable) examinations as required by the NSF for deploying to Antarctica.
Must participate in community programs, such as “house-mouse” (chores), “daisy-picking” (cleaning-up around the station), recycling efforts and safety objectives.
US citizenship is required.
