SC Department of Public Safety Fiscal Technician I (61034680) in Richland County, South Carolina

PROCESS PAYMENTS: Processes purchase order invoices received from field and headquarters personnel. Minimum average daily input of 25 invoices complete per day with sufficient invoice volumes for a single vendor and general ledger code. Responsible for verifying supporting documentation through a review of amounts, authorized signatures, shopping terms, items ordered, quantity ordered, pricing and general ledger coding. Responsible for performing the creating payables document, scanning and attaching appropriate supporting documentation, keying required data and parking the document on each and every entry in the system. Responsible for accuracy of data keyed into SAP, i.e. vendor, payment terms, dollar amounts, general ledger coding, and dates.

CHECK DISTRIBUTION: Performs daily vendor check distribution process for agency. On a daily basis, responsible for picking up checks from Comptroller General's office, validating the checks received to the check register; attaches supporting documentation as required and ensuring all items are mailed prior to the mail cut off time, the same day the checks are printed.

RESEARCH: Performs initial research in an attempt to resolve problems which arise with the processing of purchase order invoices through oral and written communications with vendors, field personnel, and headquarters personnel. Recommends appropriate actions to be taken to resolve problems and ensure prompt payment. Responsible for maintaining log of attempts to resolve problems with an invoice; this log should include dates of attempts, point of contacts, the problem or reason for the delay and actions taken. If the problem cannot be quickly resolved, item is to be given to the department's research team leader in a timely manner with all supporting documentation and actions taken.

CUSTOMER. SERVICE: Handles vendor and field inquiries on payment status and communicates the results to the appropriate personnel in an effective and courteous manner.

REPORTING:Provides management with daily status of work in process remaining on desk. Responsible for ensuring data is all-inclusive; this includes invoices received via mail, fax and email.

TEAMWORK: Assists co-workers as needed or directed by supervisors. Serves in backup role to other employees.

OTHER: Completes other related tasks as assigned by management. Minimum and Additional Requirements: A high school diploma and one (1) year of experience in entry-level accounting or bookkeeping; or an approved acceptable equivalence in accordance with State Human Resources Regulations.

A valid motor vehicle operator's license is required.
