This position is located in the Northern Navajo Medical Center, Shiprock, NM, Iina' Counseling Services-Mental Health branch. Perform administrative clerical work of a specialized nature and typing assignments involving specialized nature and typing assignments involing specialized terminology in support of the Mental Health Program. Reports directly to Director, Iina' Counseling Service. The IHS is required by law to give absolute preference to qualified applicants who meet the Secretary of the Interior's definition of Indian for appointment to vacancies within the IHS in accordance with established IHS policy as outlined in the Indian Health Manual Part 7, Chapter 3.   • Perform receptionist, record keeping and miscellaneous clerical duties associated with patient care and treatment in the mental health clinic; receive patients and visitors to the clinic, determine the source of call or visit. Answer questions regarding admission policies, cancellation of appointments, clinic hours and services.
  • Obtain Medical Records prior to patient's arrival to the clinic; schedule and coordinate appointments for patients requiring return visits; arrange patient appointments with other clinics as instructed by the physician avoiding conflicts in the treatment of the patient. Report obvious changes in patient behavior to the professional staff; assist with crisis intervention patient while waiting for available physician; patients without appointments (walk-ins) obtain medical chart from Medical Records Department. Interview new patient, obtain identifying information for medical chart. Interpret for medical staff, sort charts for Mental Health staff, prepare PCC forms if needed. Maintain a smooth flow of patients.
  • May escort mental health patients to other health facilities, if directed or arranges for flight or transportation; contact facility to make arrange for patient admittance; contact Service Unit Contract Health Services for authorization.
  • Take minutes; assist with Quality Assurance Plan and Mental Heath surveys. Initiate and complete all necessary government travel, training authorization forms, and make motel reservation for staff.
  • Maintain inventory of office supplies and determine need for ordering; maintain ITAS Timekeeping for staff; coordinate GS vehicles assigned to Mental Health program, complete mileage and maintain maintenance of these vehicles.

GS-05: One year equivalent to at least next lower grade level or 4 years above high school.

Specialized Experience: Experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable:

Knowledge of advance medical terminology pertaining to all specialty clinics and interprets complicated medical terms for patients and specialties; knowledge of various procedures needed before referral to specialty clinics; knowledge of the roles of team members to insure that patient treatment is understood; knowledge of internal organization of medical records and the relationship of their parts in order to search and extract relevant data.

Education: This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 20 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school.

Combining Education and Experience: Equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements at GS-05 grade level.

Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).

Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. IHS may offer newly-appointed Federal employees credit for their directly related previous non-federal experience or active duty uniformed military service. This credited service can be used in determining the rate at which annual leave is earned.
