Starting Salary $40-$43K. Located in the Tempe/Chandler Border. SUMMARY Provides a wide range of administrative, HR and executive support related tasks. Provides general office support by answering incoming calls, mailroom functions, invoice processing, filing, copying and other administrative functions. Administrative Assistant ? Coordinate travel and hotel reservations for VP ? Enter expenses for VP and approve expenses for direct reports ? Maintain and update calendars (excom / outlook) ? Print and prepare weekly reports prior to weekly excom meetings ? Schedule meetings, conference calls, video conferences as needed. ? Arrange hotel/village/conference facilities for sales meetings as needed Office Manager ? Answer incoming calls to our local number and answer the front door. ? Supporting large amounts of mailings for Guest Relations, including printing and mailing letters processed by HBA Guest Relations GO and scanning new letters for processing. ? Processing items to be mailed to HBA staff (payroll checks, training materials, contest prizes). ? Scanning monthly invoices for accounts payable to process. ? Vendor contact for supplies and ordering. ? Building maintenance requests and coordination. ? Coordinate scheduling and use of training and conference rooms. ? Make copies of correspondence or other printed materials. HR Support ? Process new employee paperwork, drug screening and reference checks and assist with new employee orientations. ? Assist with processing of bi-weekly payroll and maintaining payroll files. ? Act as back up for processing payroll in HR Managers absence. ?
