Position Description:

CGI Federal is seeking an Administrative Assistant in support of our client, Department of Justice, Office of Tribal Justice.

Your future duties and responsibilities:

Performs administrative and clerical support functions, ensuring office procedures are consistently implemented throughout the organization. Uses knowledge of organization programs, activities, priorities, and goals to identify workflow problems or other situations that have a negative impact on organizational efficiency. Recommends changes to rectify the problems.

Provides direct support to the Director, to include scheduling appointments and/or conferences.

Ensures that key staff members are present at meetings and prepares background materials.

Makes travel arrangements for the Director and staff. Secures accommodations and maintains contact while the Supervisor is in travel status. Makes contact with Supervisor while on travel, and advises him/her of all matters requiring immediate attention.

Receives and refers telephone calls involving inquiries from tribes,private citizens, other Federal agencies, the public and private sectors, concerning various aspects of the Office of Tribal Justice. Screens all telephone calls and visitor requests, answering procedural questions with personal knowledge of program activities. Coordinates with Senior staff to determine the appropriate staff member for handling technical inquiries.

Processes and answers questions concerning procedures related to procuring supplies and office services. Prepares, maintains and inputs time and attendance (T&A). Serves as primary T&A coordinator for the office.

maintains an awareness of ongoing programs to respond to request for information. Identifies, selects, and abstracts materials from existing files, reports, and studies for use by others.

Researches and validates data for use in reports and briefing materials for use by others. Locates, selects, and summarizes data from several sources: and presents findings in a single compilation.

Compiles statistical data for a variety of administrative reports, such as budget line items, travel, office equipment, time and attendance, overtimes, workload training and staffing level. Develops and maintains databases to analyze, summarize, tabulate, compare data, etc.
