Project Manager - Administrative
The Project Manager is the Contractor manager with primary responsibility for all support provided to a particular case. The Project Manager will have frequent contact with the Lead Project Manager, Government Case Managers, client agency staff, intake staff, call center staff, and development team. The Project Manager is responsible for creating job posting, on-boarding new staff, managing the security process, support in HR related tasks, review staff timesheets, provide stats for monthly reports, provide general administrative support for the department, budget development and tracking, support Lead Project Manager, and obtaining other required resources. Performs an active quality assurance role to ensure high quality work delivered on time. Ensures that proper security is maintained overall project materials, in accordance with Department security procedures. Coordinates with other Contractor components to deliver project support. When operating out of Franklin Building (VCF) the Project Manager's work may be subject to coordination or direction by the Lead Project Manager.
Assist in coordinating agendas and preparing meeting materials for management team meetings and client meetings; compose and prepare materials that are sometimes confidential.
Complete expense reports; assist with reconciliation of expenses, statements and receipts; this person may also be required to approve your direct reports expenses in line with company policy.
Assist in creating require monthly/annual reports and narratives as requested by the DOJ.
Prioritize conflicting needs and requests for Lead Project Managers; handle requests expeditiously, proactively, and follows-through on tasks to successful completion, often with deadline pressures.
General Administrative Duties
Perform general administrative responsibilities such as front office receptionist duties, updating phone lists, video conferencing, mail receipt / distribution, shipping requests.
Handle invoice processing, purchase orders / procurement requests, order office supplies and equipment (e.g. paper, toner, fusers, etc.)
Coordinate receipt of onboarding checklists and materials for new employees with HR (e.g. PAE/DOJ ID accounts and security badges requests, building access cards, laptops, mobile phones, company corporate card applications, business cards).
Review and approve timesheets.
Handle general ongoing internal IT, and phone issues, and security requests & physical security (e.g. replacement PIV cards).
Must be a US Citizen
Must be able to obtain and maintain a Security Clearance
Minimum of 2 years executive assistant experience or a combination of 5 years relevant experience and education; Bachelor’s Degree Preferred, not required.
Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (MSWord, Excel, Access, and PowerPoint
Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
Exceptional interpersonal skills are essential to handle sensitive and confidential situations.
Ability to interact and communicate effectively with individuals at all levels of the organization.
Expert level written and verbal communication skills.
Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
Highly resourceful team player, with the ability to also be extremely effective independently.
