Job DescriptionTransportation Intake SpecialistJOB SUMMARY: The person in this position receives all client calls including client requests for transportation, inputs information into the computer, receives applications, maintains client files, and performs a variety of office tasks including typing, filing, copying and data imputing.ESSENTIAL DUTIES AND RESPONSIBILITIES:- Receives client requests for transportation and inputs clients schedule information with correct coding into the computer.- Codes new client transportation requests, reviews all transportation applications/referral forms, and creates and maintains client files.- Accepts and logs advance call-in appointments for Friend and Family Drivers, and accepts appointment cancellations.- Acts as contact person for outside agencies requesting transportation.OTHER DUTIES AND RESPONSIBILITIES:- Exhibits a positive professional attitude and maintains a high level of customer service with supervisor, co-workers, clients and community.- Performs a variety of clerical duties accurately, including typing, filing and copying.- Sends applications and other paperwork to new clients and answers client questions.- Answers Volunteers calls appropriately and assists in answering client Explorer Vehicle Operator calls as needed.- Attends appropriate workshops and meetings as requested.- Demonstrates conduct reflective of client policies and procedures.- Provides back-up coverage for the Schedulers, data entry and the Customer Service Representative including greeting clients, providing information, receiving Volunteer and Friend & Family client trip sheets and providing excellent customer service as needed. - Performs other reasonably related duties as assigned. EMPLOYMENT REQUIREMENTS:- One to two years related experience; knowledge of office procedures and use of office machines, accurate typing, filing and math calculation skills.- Data entry experience required.- Must have a pleasant telephone manner; good interpersonal skills, a willingness to assist a variety of clients and the ability to multi task in a fast paced environment; familiarity with Somerset, Kennebec and surrounding areas a plus.- Ability to pass State Bureau of Investigation, Department of Health and Human Services and Fraud background checks.
