_JOB TITLE: Document Management Clerk_

GENERAL SUMMARY OF DUTIES - Prepare and scan documents into optical imaging system.

SUPERVISOR - Optical Scanning Manager


DUTIES INCLUDE BUT ARE NOT LIMITED TO: 1. Receive/sort all incoming UPS, Federal Express, courier deliveries, and US Postal Mail 2. Run postage on outgoing mail 3. Distribute correspondence/mail 4. Verify all items listed on packing slips were received 5. Prepare documents for entry into optical imaging system 6. Process/notate returned mail 7. Prep any correspondence, return mail or any other materials as assigned 8. Index Correspondence 9. Assist in maintaining inventory and unloading supplies 10. Distribute supplies 11. Manage document retention process 12. Prepare file packets for entry into optical imaging system by removing staples, paper clips, duplicate forms and forms not needed 13. Maintain required productivity and QA standards 14. Scan file packets into optical imaging system 15. Match corresponding paperwork to accounts 16. Index batches of data once scanned into the imaging system 17. Practice and adhere to the “Code of Conduct” philosophy and “Mission and Value Statement” 18. Other duties as assigned

KNOWLEDGE, SKILLS & ABILITIES • Communication - communicates clearly and concisely, verbally and in writing utilizing proper punctuation and correct spelling • Customer orientation - establishes and maintains long-term customer relationships, building trust and respect by consistently meeting and exceeding expectations • Interpersonal skills - able to work effectively with other employees, patients and external parties • PC skills - demonstrates proficiency in Microsoft Office applications and others as required. • Policies & Procedures - demonstrates knowledge and understanding of organizational policies, procedures and systems • Basic skills - able to perform basic mathematical calculations, balance and reconcile figures, punctuate properly, spell correctly and transcribe accurately

EDUCATION • High school diploma or GED required

EXPERIENCE • Minimum one year related physician billing or charge support experience preferred.
• Relevant education may substitute experience requirement


PHYSICAL DEMANDS/WORKING CONDITIONS - Requires prolonged sitting, some bending, stooping and stretching. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment. Requires normal range of hearing and eyesight to record, prepare and communicate appropriate reports. Requires lifting papers or boxes up to 50 pounds occasionally. Work is performed in an office environment. Work may be stressful at times. Contact may involve dealing with angry or upset people.
